Is Zoho HIPAA compliant? CRM, Forms and the BAA

Is Zoho HIPAA compliant? Which Zoho products its BAA covers, CRM settings for patient data, why Zoho Forms and Zoho Mail need separate checks.

Is Zoho HIPAA compliant? Zoho says it can act as your business associate and will provide a BAA template on request, but Zoho is a suite of dozens of apps, so the answer has to be checked app by app. Demand is small and contested: "is zoho hipaa compliant" gets about 50 US searches a month at a $103.67 cost per click, the highest in this hub, and "zoho crm hipaa compliant" about 30 (Google Ads Keyword Planner data via DataForSEO, US, 12-month average to Sep 2026). Vendors clearly want these buyers.

Short answer: is Zoho HIPAA compliant?

Short answer (verified October 2026): Zoho's compliance page (opens in a new tab) says "The responsibility of Zoho is limited to the extent it acts as a 'Business Associate'," and lists Zoho CRM, Forms, Mail and Bookings among the products in scope of its SOC 2 + HIPAA Type 2 audit report. Its Zoho Forms HIPAA page (opens in a new tab) says customers can "request our BAA template" by emailing legal@zohocorp.com. Neither page says which apps or editions the BAA itself covers.

In practice: Zoho may be usable for patient information, but only after a signed BAA names the specific Zoho app and edition you use. An audit report is not a BAA.

Zoho's BAA: which products and editions

Here's what each official page we could read says, app by app:

Zoho appIn HIPAA audit scope (compliance page)?HIPAA page with BAA details?Plan stated?
Zoho CRMYesNot reachable when we checkedNo
Zoho FormsYesYes: BAA template on requestNo
Zoho MailYesNot reachable when we checkedNo
Zoho BookingsYesNot reachable when we checkedNo

The audit report Zoho describes covers application development, production support and general IT controls for services from its offshore development centre, and assesses HIPAA's security, privacy and breach requirements. Its stated audit period ran from December 1, 2023 to September 30, 2024. That tells you about Zoho's controls. It doesn't tell you what your contract covers.

So ask Zoho's legal team three things in writing: which apps the BAA covers, which editions of each, and whether any features within those apps are excluded.

Zoho CRM settings for patient data

Zoho's CRM-specific HIPAA documentation wasn't reachable when we checked, so we won't describe settings we couldn't verify. Instead, here's what the Security Rule's technical safeguards (45 CFR 164.312 (opens in a new tab)) require you to confirm in any CRM, and what to ask Zoho:

  • Unique logins for every user, with no shared front-desk account. Required by the rule.
  • Role-based access, so only staff who handle intake see patient notes.
  • Field-level protection for health details. Zoho Forms lets you mark fields as ePHI; ask whether Zoho CRM offers an equivalent for your edition.
  • Encryption at rest and in transit for patient records.
  • An audit log that can "record and examine activity," and how long it is kept.
  • Integrations and email features reviewed: anything that copies patient details to another app or inbox extends your BAA chain.

Zoho Forms and Zoho Mail: separate checks

Zoho sells each app separately, and patient data often flows between them: a Zoho Form feeds Zoho CRM, which sends a Zoho Mail notification. Every app on that path needs BAA coverage.

Zoho Forms has the most detailed public HIPAA page. Zoho says it "does not collect, use, store, or maintain health information protected by HIPAA for its own purposes." Features it lists for HIPAA use:

  • marking form fields that collect health information as ePHI;
  • audit trails of submissions, edits and user activity "for a period of 90 days";
  • role-based permissions;
  • data retention periods;
  • encryption, SSL and encrypted server storage.

The page names no required plan, so confirm the plan with Zoho. For other options, compare HIPAA form builders.

Zoho Mail appears in the audit scope list, but we couldn't reach a Mail-specific HIPAA page. Before staff email patients or receive form notifications in Zoho Mail, get BAA coverage for Mail confirmed in writing. Our guide to HIPAA compliant email covers what to check.

Where Zoho fits for a small practice

Zoho appeals to cost-conscious practices because one vendor covers CRM, forms, email and booking. That's also the risk: each app is a separate HIPAA decision, and a single uncovered link exposes the whole flow.

Zoho can fit when:

  • your signed BAA explicitly lists every app on the patient data path;
  • someone on staff will own roles, field settings and integrations;
  • you've checked the edition of each app, not just the suite name.

It's a weaker fit if you'd rather not manage several app-level BAAs and settings.

Alternatives with a patient inbox built in

If you want the inquiry-capture part without assembling a suite, compare BAA scope and plan requirements in HIPAA compliant CRM options, see is Salesforce HIPAA compliant for the enterprise route, or start from the healthcare CRM guide.

Alternative (facts only): Medfy's base plan includes a patient CRM and inbox for website forms and messages, access-controlled, under a BAA Medfy signs with each practice. Patient information is stored in separate, encrypted HIPAA databases in the US or Canada.

Every vendor that receives PHI needs a BAA first (45 CFR 164.502(e) (opens in a new tab)). To see which tools on your current website collect patient information, run the free marketing audit.

Frequently asked questions

Does Zoho sign a BAA?

Zoho offers a BAA template on request: its Zoho Forms HIPAA page says to email legal@zohocorp.com. Its compliance page says Zoho's responsibility is limited to the extent it acts as a business associate. The public pages we read in October 2026 don't list which apps or editions the BAA covers, so get that list in the signed agreement and have your compliance officer review it.

Is Zoho Forms HIPAA compliant?

No form tool is compliant on its own. As of October 2026, Zoho says Zoho Forms has features for HIPAA use: marking fields that collect health information as ePHI, role-based access, encryption and a 90-day audit trail, with a BAA template available from legal@zohocorp.com. Its HIPAA page doesn't name a required plan. Confirm the plan and BAA coverage in writing before collecting patient information.

Can a medical practice use Zoho CRM for patients?

Possibly, once a signed BAA names Zoho CRM and your edition, and you configure roles, field access and audit logging for patient records. Zoho lists CRM in the scope of its SOC 2 + HIPAA audit report, but an audit isn't a BAA, and we couldn't reach a CRM-specific HIPAA page. Get Zoho's written confirmation first, and have your compliance officer review the setup.
